How to use the AI Assistant
Getting started with the AI Co-pilot takes seconds. Open the assistant from anywhere in WorkWiz and start a conversation in plain English.

Click the AI icon in the sidebar or navigate directly to
/assistant. The conversational interface opens immediately — no setup required. - 2Type your question or request
Ask anything in natural language — "What are my most urgent tasks this week?", "Summarize the Acme project", or "Create a task to follow up with the client by Friday."
- 3The AI responds with context from your actual data
Responses are grounded in your live workspace data — real project names, real task statuses, real client details. Answers stream in real time so you never wait for a full response to load.
- 4Review and approve any proposed actions
If the AI suggests an action — creating a task, updating a project, sending an email — a confirmation card appears with full details. Click Approve to execute or Dismiss to cancel. Nothing happens without your say-so.
What the AI can propose
The AI Co-pilot can propose a wide range of actions across your workspace. Every proposal surfaces as a confirmation card and requires explicit approval before anything changes.

Action approval gate
WorkWiz AI is built on a strict human-in-the-loop principle. The assistant will never silently modify your data, send messages on your behalf, or schedule anything without a visible confirmation step.
Dashboard morning briefing
Each morning, the AI Co-pilot reads across your entire workspace and generates a short, plain-English briefing that appears at the top of your Dashboard. The briefing is created fresh every day based on the current state of your tasks, projects, and deadlines — there is nothing to configure.
The briefing is organized into three themes:
- Urgent tasks — tasks that are overdue or due very soon and have not yet been completed or cancelled.
- At-risk projects — projects whose completion percentage is low relative to their upcoming deadline, signaling that they may need attention.
- Quick wins — low-effort, unblocked tasks the AI identifies as good candidates to knock out early in the day to build momentum.
The briefing is personalized based on your actual task data, client relationships, and historical working patterns. The more you use WorkWiz, the more relevant the briefing becomes.
Inline AI features
AI assistance is available inside task and project detail views without opening the full chat interface. These inline tools are designed for quick, in-context help while you are working.
- Task description generation — click the AI button inside a task's description field to generate a clear, detailed description from the task title and any context you provide.
- Subtask suggestions — from within a task, ask the AI to break it down into concrete subtasks. Review each suggestion and accept or dismiss individually before they are saved.
- Priority recommendation — the AI analyses the task's due date, project deadlines, and current workload to suggest an appropriate priority level.
- Project summaries — inside a project detail view, generate a concise plain-English summary of progress, open tasks, and blockers — useful for client updates or team stand-ups.
AI memory
The AI Co-pilot builds a persistent understanding of how you work over time. This memory is stored per workspace and improves the relevance of every suggestion and response.
Memory includes:
- Working preferences — your preferred task prioritization approach, typical working hours, and communication style.
- Business context — the nature of your work, the types of projects you run, and the tools and processes you use.
- Client relationships — key facts about your clients, their industries, preferences, and ongoing projects so the AI can refer to them naturally in context.
Token limits
AI usage is measured in tokens and tracked against your plan's quota. Limits apply on both a weekly basis and a rolling 5-hour window to ensure fair access.
- Free Limited token quota — suitable for occasional use and exploring the AI features.
- Pro Standard weekly quota with access to all core AI features including the morning briefing, inline AI, and conversational chat.
- Business Higher weekly quota plus access to advanced AI capabilities including autonomous scheduling and priority AI models.
Your current token usage is visible under Settings → AI Usage. When you approach your quota, a warning banner appears in the assistant interface.
